General Summary:

The position of Administrative Assistant will provide support for the Finance Department under the direction of the Sr. Manager of Shared Services. The ideal candidate will be open to taking on a variety of routine business office tasks along with new projects and opportunities as needs arise. The candidate must be detail oriented, have excellent organizational skills, and be able to communicate effectively both orally and in writing.

Principal Duties and Responsibilities:

  • Notary duties - notarize new employee confidentiality agreements, corporate documents, etc. (Zeus will assist with becoming a Notary, if necessary)
  • Ordering office supplies for the Branchburg, New Jersey office.
  • Responsible for office petty cash disbursements and monthly reconciliation of petty cash box.
  • Opening and distributing incoming mail.
  • Prepare communications, such as memos, emails, reports and other business office correspondence.
  • Preparing and making bank deposit via scanner.
  • Filing, scanning, and maintaining various business office documents.
  • Preparing and handling certified mailings for all corporate tax disbursements.
  • Coordinating travel arrangements for team members, as requested.
  • Coordinating meetings for staff and visitors (reserving conference rooms, meals, assisting with travel), etc.
  • Providing coverage for the Receptionist at the front desk when needed.
  • Preparing payment requests for ACH disbursements and manual payments.
  • Creating and updating forms in Adobe Acrobat as needed for the department.
  • Preparing ad-hoc reports and analyses and assisting other disciplines within the Finance department as needed or requested.

Knowledge, Skills, and Abilities Required:

  • Detail oriented.
  • Ability to effectively interact with Finance staff and maintain confidentiality.
  • Excellent multi-tasking and organizational skills.
  • Proficient with MS Office applications (Excel, Word & PowerPoint).
  • 5+ years of experience in business office administration.
  • Knowledge of bookkeeping processes or accounting is preferred
